Subject: RE: Great House Farm, Llandough, Cardiff From: Sion Buckler Direction: sent Date: Mon, 19 Oct 2026 22:13 UTC Institution: Heneb (formerly GGAT) / Historic Environment Record Refs: none Archive id: gm-1a1563a1cfcaeb44 ------------------------------------------------------------ Dear HER Team, Great House Farm / Tŷ Mawr, Llandough-juxta-Penarth (HER 02038s) — your reply of 16 October 2026 to my schedule GHF/HENEB/2026-09-20 Thank you for your reply of 16 October, and for your email of 14 October confirming the physical search of the HER source file and the upload of its contents to Archwilio record 02038s. So that nothing is asked twice: I do not repeat here anything in my complaint of 27 September 2026, which Mr Foulston is investigating, or items 1, 2, 13, 39, 42 and 48 of the schedule, which you have answered. I make this request under Heneb's arrangements for access to the Historic Environment Record and its own policy. I do not reopen the question of the Environmental Information Regulations, on which I note your position of 6 October. 1. Scope of the search. Each "not held" answer reads "The HER does not hold information relating to this request." Several items asked for records of the Trust rather than entries in the HER: for example item 12 (Cadw's inspection of 29 July 1988), item 22 (the Trust's copy of the 1974 measured survey), item 25 (the consultee response to reserved matters application 92/00671/RES), items 28 to 31 (condition compliance, the meeting of 4 May 1994, monitoring of the 1994 excavation, and the burial licence), item 32 (correspondence with Cadw on scheduling, 1993 to 1995) and item 33 (the watching brief recommended in 1990). For those items, please confirm whether the search extended beyond the HER to: (a) the former GGAT curatorial and planning-advice files; (b) the former GGAT project archives, including the archive of the August 1990 assessment "Land at Great House Farm, Llandough"; (c) the former GGAT paper records kept at Baglan (your answer to item 46); and (d) the Trust's general correspondence and administrative files. If any of these was not searched, please either search it or tell me which part of Heneb holds it, so that I can ask in the right place. 2. Archive locations (item 34). Does the HER event record for each intervention (1978 to 1980, 1990 and 1994, including event GGATE003875) carry an archive-holder or archive-location field? If so, please tell me what each one says. 3. 1988 records (item 11). You say these are publicly available on Archwilio. Please identify which of the files in the Sources section of record 02038s are the 1988 records you mean, so that I can be sure I am reading the right documents. 4. Change log (items 3 to 5). I understand that the log is an audit trail rather than a set of snapshots, and that it contains personal data. Could Heneb supply the entries for 02038s and its linked records with names and any other personal data removed, showing for each entry only the date, the table or field changed and the type of change? If the full history is too long, the entries from 20 May 2026 to date would be enough for now. 5. Date of transfer (item 45). Thank you for confirming that Heneb is the record holder for the former GGAT. Item 45 also asked for the date of transfer; please give it. 6. Retention and disposal (items 46 and 47). Please send the records-management or retention policy that applies to the former GGAT paper records now, while the review you mention is under way. Please also say whether Heneb, or the former GGAT, keeps a register of disposal or destruction for those records; if no such register exists, please say so. 7. Preservation. As Heneb's data management policy is under review, I ask that nothing relating to Great House Farm / Tŷ Mawr, Llandough is destroyed, disposed of, weeded or moved out of Heneb's custody while my enquiries and complaint remain open. This covers paper and digital records, emails and the HER change log, and in particular: - HER records 02038s, GGAT03586s and GGATE003872, event GGATE003875, and the HER source file; - the August 1990 assessment "Land at Great House Farm, Llandough" and its project archive; - the Trust's files on the 1994 excavation and on Holbrook and Thomas, Medieval Archaeology 49 (2005); - consultation responses and correspondence on planning applications 89/01396/OUT and 92/00671/RES; - correspondence with Cadw, the Vale of Glamorgan Council, BP Properties Ltd and its agents, Ideal Homes Wales Ltd and Cotswold Archaeological Trust, 1978 to 1995 and 2005. I asked for this in my preservation notice of 28 September 2026. I would be grateful for a short written confirmation that a hold is in place. I would be grateful for that confirmation as soon as convenient, and for the rest by 19 November 2026. If any item is unclear or too broad, please tell me and I will narrow it. Thank you for your help. Yours faithfully, Sion Buckler (Ret'd Sergeant) Royal Signals Cyber/Electronic Warfare Professional https://greathousefarmwiki.wordpress.com
