Dear Cadw / Welsh Government Complaints Manager and Chief Inspector,

I refer to the internal-review outcomes of 2, 10 and 29 July 2026 and the Chief Inspector’s letters of 27 August and 4 September 2026 concerning the 1988 Great House Farm / Tŷ Mawr listing file for Llandough-juxta-Penarth.

The previous responses said the file had “most likely” been destroyed, that no destruction record could be found, and that Cadw could not say what retention arrangements applied 38 years ago. I am not asking you to repeat the response or recreate a record that does not exist. I ask whether any pre-existing recorded information remains that supports or qualifies the “most likely destroyed” conclusion or documents the file’s lifecycle.

Please disclose any existing file inventory, closure note, archive catalogue entry, transfer list, disposal authority, retention schedule, weeding/destruction record, archival receipt, email/minute/note recording the search or basis for the conclusion, or record showing whether the file remained held or was transferred on/after 6 December 1988. Please provide the recorded date and responsible role/unit for any documented disposal or transfer decision.

If no additional record is held, please distinguish an actual contemporaneous disposal decision/log from the present-day inability to locate the file. Identify repositories, indices and systems searched for this focused request. If any information is withheld, cite the statutory basis and disclose reasonably separable information.

Please preserve any extant records within scope while the related complaint and disclosure routes remain active. This is a request for recorded information, not a request to decide title, possession or the legal effect of the 1987 proceedings. This is a focused request for additional recorded information, not an appeal or a request to reopen the merits of the earlier complaint. If it falls outside the scope or closure status of ATISN 27021, please register it as a new FOI request, cross-reference ATISN 27021 for context, and confirm the new reference and statutory response date.
